Personal Data Policy

Processing of Job Applications

Kolding Hotel Apartments is the data controller responsible for the processing of the information contained in applications or otherwise obtained as part of our recruitment processes.

As part of its recruitment activities, Kolding Hotel Apartments processes the information provided by applicants in their applications, including details such as name, address, education, work experience, etc., i.e. as a general rule only ordinary personal data. It is not recommended that applicants include sensitive personal data in their applications, such as information about health, race, religion, trade union membership, criminal records, etc. If Kolding Hotel Apartments needs to obtain and process sensitive personal data about an applicant, for example a criminal record certificate, this will only be done following prior consent from the applicant concerned.

The legal basis for processing the applicant’s data is found in Article 6(1)(a) (consent), (b) (steps taken prior to entering into a contract) and (f) (legitimate interests) of the General Data Protection Regulation (GDPR).

If an applicant is rejected for the position applied for, Kolding Hotel Apartments will store the applicant’s application and information for up to six months after the rejection. If other vacancies arise that match the applicant’s profile, Kolding Hotel Apartments may contact the applicant with a view to filling such a position. Applications are therefore deleted after six months unless the applicant gives permission for Kolding Hotel Apartments to retain the application for a longer period.

Applicants always have the right to be informed about which information Kolding Hotel Apartments holds about them. Applicants also have the right to have their information corrected if it is inaccurate, and they have the right to object to, or request the deletion or restriction of, the processing of their data. If the applicant is offered employment at Kolding Hotel Apartments, the information obtained during the recruitment process will be transferred to a personnel file. Information about employees is processed in accordance with Kolding Hotel Apartments’ “Personal Data Policy for Employee Information”.

Kolding Hotel Apartments has implemented a number of technological and organisational security measures to protect applicants’ personal data against manipulation, loss, etc., and against unauthorised access. Only employees of Kolding Hotel Apartments who, as part of their work, need access to applicants’ personal data are authorised to do so. Kolding Hotel Apartments’ security procedures are continuously reviewed in line with the latest technological developments.
